Privacy Policy: Civitas Ezra Fleet

This policy explains how Civitas Ezra Fleet (the "app") uses the information it receives from Google when you connect a Google account to it.

1. Who we are

The app is an internal workspace tool operated by ROYALTECH Corp., which is responsible for your information under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173).

The app is not offered to the public. Only accounts that we authorise can sign in to it.

2. The Google data the app accesses

When you connect a Google account, the app asks for permission to access:

• Basic profile: your name, email address, profile picture and Google account identifier, so the app knows which account is connected.
• Gmail: to read, search and organise your messages and labels, to write drafts, to send messages when you ask it to, to add messages to your mailbox, and to move messages to the bin or delete them permanently. It may also view and change your mail settings: basic settings such as filters, labels and auto-reply, and sensitive settings such as forwarding, send-as addresses and who else may manage your mailbox.
• Google Drive, Docs, Sheets and Slides: to view, search, create, update and delete your files, including your documents, spreadsheets and presentations, and to change who they are shared with.

The app asks for nothing else.

3. How the app uses that data

The app uses your Google data only to do the work you or our team ask it to do in your account. For example:

• sorting, summarising and drafting email;
• sending a message you have approved;
• filing, reading and updating documents.

It does not use your Google data for any other purpose. In particular, the app does not:

• sell your data, or pass it to advertising platforms, data brokers or information resellers;
• use your data to show advertising, including retargeting or interest-based ads;
• use your data to decide creditworthiness or for lending.

4. Who can see your data, and who we share it with

People. Our staff see your Google data only:

• when you ask them to;
• when it is needed to keep the app or your account secure (for example, to investigate a fault or misuse); or
• when the law requires it.

Service providers. We share your Google data only with service providers that process it on our instructions, and only so the app can do the work you ask for: the cloud computing, automated text-processing and text-to-speech services the app runs on. They are bound to use the data only for that purpose and to keep it confidential.

We also disclose data:

• when the law or a valid order of a court or government authority requires it;
• if our company is merged or sold, and then only after we have asked for your consent.

AI models. We do not use your Google data to develop, improve or train generalised artificial-intelligence or machine-learning models, and we have switched off model training with the AI services the app uses.

5. How we store and protect it

• The keys that let the app reach your Google account are kept only on computers that we control, in files that only the app's own system account can open. They are never sold or given to anyone else.
• The app reads your Google data when a task needs it. Where a task produces a work record (for example, a filed document or a note of an email that was handled), that record is kept under our records rules. Nothing is kept for any other purpose.
• Data moves between Google and the app over encrypted connections.
• Access to the app and its records is limited to authorised staff.

6. How to stop the app's access, or ask us to delete your data

• Stop access at any time: go to your Google Account, then Security, then "Your connections to third-party apps and services" (https://myaccount.google.com/connections), choose Civitas Ezra Fleet and remove its access. The app can no longer reach your account after that.
• Ask for deletion: email royaltech@civitasdirective.com. We will delete the Google data and any copies we hold about you within 30 days. The only exception is a record the law requires us to keep, such as tax and business records, and we will tell you if that applies.

7. Your rights under Philippine law

Under the Data Privacy Act you may:

• ask what information we hold about you and how we use it;
• ask us to correct it, or to stop using or delete it;
• object to its processing;
• receive a copy of it in a commonly used electronic format;
• complain to the National Privacy Commission (privacy.gov.ph).

8. Children

The app is for our staff and their own accounts. It is not meant for anyone under 18.

9. Changes to this policy

If we change how the app uses Google data, we will update this page and its date. Before using your data in a new way, we will tell you and ask for your consent.
